Accounts and Administrations Officer - Xiamen, Mainland China

Key responsibilities and tasks 

Office Administration and Support
  • Consistently provide high quality administrative support to the Area Manager
  • Drive and deliver specific projects for the Area Manager as required
  • Coordinate events and staff functions as required (e.g. Annual Party, Staff gathering)
  • Provide administrative and logistical support to secondees with moving to and from the area
  • Provide office Outlook and equipment maintenance as required
  • Coordinate tenancy issues for secondees
  • Act as the Administration Coordinator in Emergency and Accident situations
  • Coordinate and manage Town Office Business Continuity Planning readiness as required
  • Appointment as Fire Warden and First Aider for the Town Office
  • Assist in coordination with local government for various kinds of certification as required
Finance 
  • Keep tidy, accurate and up-to-date accounting records of ports in the designated area of responsibility
  • Conduct banking activities upon requests by Area Manager or Central Finance Team
  • Submit required schedules and relevant information based on Central  Finance Team request for completion of monthly and annual closing of port accounts
  • Assist the Area Manager and Central Finance Team in the preparation of forecast, budget, annual audit report, risk assessment and other ad hoc reports as required
  • Manage petty cash for the Regional Office
  • Perform other ad hoc assignments as requested by Central Finance Team
People
  • Assist in coordination of recruitment process and assist on-site support
  • Verify the original documents that shall be kept in staff personal files
  • Collect and verify original supporting documents of leave applications, such as Sick leave certificate, from individual staff, and file the documents on a timely manner
  • Keep training records of individual staff of the responsible ports
  • Perform other ad hoc assignments as requested by Central People Team
E&A
  • Emergency and Accident and Crisis Response responsibilities as required
Qualifications /Experience
 

Academic qualifications
  • College degree
  • Tertiary qualification in a related administration or business discipline is an advantage
Knowledge, skills, training and experience
  • At least 2 years’ experience in an administration support role
  • Demonstrable experience in successful relationship building across remote offices
  • Attention to detail with a high level accuracy
  • Proven ability to deal with sensitive information with discretion and maintain confidentiality at all times
  • Flexibility in adapting to different management styles
  • Sensitive and responsive to the requirements of different cultures and personalities
  • Be able to work independently with little supervision
  • IT literate and fully conversant in the use of Microsoft applications; Word, PowerPoint, Excel, Outlook and Internet Explorer
  • Strong communication and interpersonal skills
  • Strong sense of responsibility
  • Good planning and organisational skills
  • Good command of both spoken and written English
  • PRC national register or holding PRC ID card
